EVOLVE ACADEMY – TERMS & CONDITIONS Registration & Player Eligibility All players must be registered online before attending any session. Unregistered or unpaid participants will not be permitted to take part. Parents/guardians must provide accurate medical, emergency, and contact details during registration and update them if circumstances change. Players must fall within the advertised age categories for their group. Evolve Academy reserves the right to refuse or withdraw a place where incomplete, false, or inaccurate details have been provided. Attendance, Supervision & Collection Responsibility for players rests with parents/guardians before and after scheduled session times. Players must be signed in and out by a responsible adult. Coaches are responsible for players only during the designated session period. Players must remain on-site until collected. Evolve staff are not responsible for players who leave the facility without authorisation. Player Conduct & Discipline Evolve Academy maintains a zero-tolerance policy toward bullying, aggression, or disrespect toward coaches, teammates, officials, or property. Any behaviour deemed unsafe or disruptive may result in immediate removal from the session. Evolve reserves the right to suspend or permanently remove a player for repeated or serious breaches — without refund. Parents are expected to model respectful communication and support coaching staff decisions at all times. Medical Conditions, First Aid & Emergencies Parents must disclose all relevant medical conditions, allergies, or additional needs prior to participation. A qualified first aider is present at every session, and a stocked First Aid Kit and AED (Defibrillator) are available on-site. All incidents are recorded on the Evolve Accident Report Sheet and reported to parents. In an emergency, Evolve staff may act in loco parentis and seek medical assistance or ambulance support if deemed necessary. Insurance & Liability Evolve Academy holds Public Liability and Personal Accident Insurance covering registered players during official sessions. Participation in Evolve Academy sessions is voluntary and undertaken at the player’s own risk. Evolve Soccer Coaching, its coaches, or associated staff accept no liability for injury, illness, loss, or damage to personal property except where proven negligence applies. Parents/guardians accept that participation involves physical activity with inherent risks. Cancellations, Refunds & Schedule Changes Refunds are issued only if the full block of sessions is cancelled by Evolve, or a player cannot attend for certified medical reasons (doctor’s note required). Missed sessions, late arrivals, or player withdrawals are non-refundable. Evolve reserves the right to amend times, venues, or staffing due to weather, facility issues, or coach availability. Where sessions are postponed, they will be rescheduled or credited where possible but not guaranteed. Safeguarding & Vetting All Evolve coaches are Garda Vetted, Safeguarding-certified, and trained under the FAI Child Welfare & Safeguarding Policy and the Children First Act 2015. Parents can request proof of vetting or safeguarding certification at any time. Any concerns about child safety should be reported directly to Trevor Casey, Designated Liaison Person (DLP) for Evolve Soccer Coaching. Photography, Video & Social Media Evolve may capture images and short videos for player development, analysis, and promotional purposes. Players will never be identified by full name in public media posts. Parents who do not consent to media use must notify Evolve in writing before participation begins. All content use adheres to the FAI Social Media and Photography Policy and the Children First National Guidance. Data Protection (GDPR Compliance) Personal data is collected and stored securely for operational purposes (registration, communication, emergency contact). Data is never shared externally without consent, except where legally required. Parents may request deletion or amendment of data at any time by contacting Evolve Soccer Coaching. Facility, Equipment & Safety Players must wear appropriate footwear and clothing suitable for 4G/astro surfaces. Parents must ensure players bring necessary hydration and weather-appropriate gear. Coaches reserve the right to exclude any player not suitably dressed or equipped. In extreme weather or unsafe conditions, sessions will be postponed or adjusted for safety. Code of Behaviour & Communication Evolve promotes a culture of respect, learning, and development. Any form of abuse, discrimination, or intimidation toward players, parents, or staff will result in removal from the academy. Communication with coaches must remain constructive and respectful. Issues should be raised privately, not during sessions. Acceptance of Risk & Terms By registering, parents/guardians confirm that they have read, understood, and agreed to these Terms & Conditions. They consent to their child’s participation under Evolve’s policies, accept the inherent risks of physical activity, authorise Evolve staff to act in emergencies, and agree that Evolve Soccer Coaching decisions on safety or discipline are final.
